• To provide transparency on how Intereuropean Human Aid Association Germany e.V. (hereafter referred to as IHA) and any third parties IHA works with use personal information you provide to IHA.

1. Who we are

IHA is a registered non-profit association (“eingetragener gemeinnütziger Verein” – incorporated charitable association) based in Munich, Germany. IHA’s core mission is providing aid and assistance to refugees in a fast and efficient way and to facilitate the readiness to help of civil society actors. Our work includes: channeling donated relief supplies to locations across Europe, serving as a focal point for volunteer aid workers, building infrastructure in refugee camps, distributing relief supplies and providing psychosocial support and informal educational activities.

2. What data IHA may collect from you

The collection, processing and archiving of the personal data described below is done according to relevant data protection provisions, in particular EU Regulation 2016/679 (General Data Protection Regulation). As part of our activities as a non-profit association, we may collect and process the following data:

  • Basic Personal Information: Via our online volunteering form, if provided by you, we collect personal details such as name, e-mail address, age, gender, nationality and contact phone number.
  • Background and skills: Via our online application form, if provided by you, we collect relevant information about qualifications, skills, experience and motivation.
  • Details of your visit to the website: When you visit our website, we collect technical information such as the IP address, your browser type and version.
  • Payment information / Records of your payment: When a donation is made, in addition to your contact information, we collect the necessary financial information. Depending on how your payment is made, the collected financial information slightly differs depending on the payment option of your choice.

3. Legal basis and purpose for processing personal data

Lawful ground

When collecting personal information, our activities are based on one or more lawful grounds listed below:

  1. Depending on the purpose of the processing activity, the processing of your personal data will be based on the legitimate interests of IHA, without unduly affecting your interests or fundamental rights and freedoms.
  2. Vital interest; processing is necessary to protect the vital interest of the data subject.
  3. Consent; the consent of the data has been lawfully obtained.
  4. Requirements to meet our legal or regulatory responsibilities.

Purposes

When collecting personal information, our activities rely on the following purposes:

  1. Donations: We collect certain information such as your personal details, contact information and the amount of the donation.
  2. Volunteering: We collect relevant information about your qualifications, skills, experience and motivation so that we may assess your suitability for volunteering roles and can contact you about suitable volunteering opportunities.
  3. Marketing and fundraising: For the purpose of marketing and fundraising, we might contact you with newsletters, event invites and donation opportunities.

4. Your data protection rights

As a data subject you have the following rights in regard to your personal data collected and processed by IHA.

  1. Right of access by the data subject to the personal data collected by IHA

5. Who IHA shares your data with

Donations, marketing and communications

IHA as a controller shares relevant data with third-party vendors and/or business partners who perform specific activities linked to services provided to you by IHA (e.g. payment processing, IT and communication services).

The third parties in connection with IHA are: Google (G Suite and Google Forms), MailChimp, fundraisingbox, Webflow, Klarna, Stripe, Paypal. For further information on how those third parties collect and process personal data, please refer to the data protection declaration published on their respective websites.

Volunteering

If you register your interest to volunteer via our online volunteering form, in addition to IHA members, your data might be shared with with IHA representatives (employees or freelance contractors), such as volunteer coordinators, in our areas of operation abroad.

Data is shared solely for purposes related to facilitating your volunteer service.

6. How long does IHA store your data

We will only retain personal data for as long as necessary to fulfil the purpose for which it was collected and to comply with regulatory requirements.

7. Changes to our Data Protection Declaration

We keep our privacy policy under regular review and any updates will be announced on our website. This data protection declaration was last updated on 20 December 2020.
